Overview
Routing enables GFI FaxMaker to determine the correct recipient of an incoming fax. When a fax is received, GFI FaxMaker routes the fax to its intended recipient.
This article guides you on how to access the routing nodes and configure them in the FaxMaker Configuration.
Solution
- Access the GFI FaxMaker Configuration and go to Routing.
- Once the Routing type has been selected, select Properties from the right pane to set the appropriate settings. Routing Properties has 3 tabs:
- Default Router: The admin in FaxMaker receives all faxes that are not routed to a user. This could be due to no routing rule or rule not followed depending on the circumstances involved.
- Users who receive all faxes: Any user listed here will receive every fax that that is received by FaxMaker.
- Network Share: Setup the routing types use if the option “Send transmission report with link to fax” is selected. This will set up a folder structure with permissions applied for users that will receive the fax. This option is generally used when the fax cannot be in the email system.
- Default Router: The admin in FaxMaker receives all faxes that are not routed to a user. This could be due to no routing rule or rule not followed depending on the circumstances involved.
- Expand the routing node to show the routing types.
- CSID (Called Subscriber Identification): The CSID routing uses the sender’s fax machine ID to display when routing faxes to particular users. This method is not recommended since fax senders may hide the CSID.
- DTMF/DID (Dual Tone Multi-Frequency Signaling/Direct Inward Dial): This is used when incoming faxes have DID or DTMF information in the incoming call. DID is for digital T1 line or FoIP (Fax over IP). DTMF would be tones played on analog lines for calling identification. Both are processed the same way.
DTMF/DID requires the routing checkbox to be marked under Lines and Devices > Advanced Tab in the FaxMaker Configuration and the correct number of digits should also be selected. - OCR (Optical Character Recognition): This requires a License Add-On. When a fax is received it will be converted to a text file so the characters can be read and routed by the users’ names or keywords or phrases. You can also set the matching ratio % in the OCR feature.
- Line: This is per line number set in Lines and Devices. Line routing can only be used if, for example, Line 0 is a direct line to an analog line through a single port in a dedicated fax device with a specific phone number. Other incoming fax protocols, such as ISDN or FoIP, or even analog if moving through a PBX, will not always enter the same line each time a fax is received as they use a round-robin type of line selection.
- MSN (Multiple Subscriber Number): This is used with ISDN lines and networks and works much the same way as DID.
MSN requires the routing checkbox to be marked under Lines and Devices > Advanced Tab in the FaxMaker Configuration and the correct number of digits should also be selected.
- CSID (Called Subscriber Identification): The CSID routing uses the sender’s fax machine ID to display when routing faxes to particular users. This method is not recommended since fax senders may hide the CSID.
- With routing expanded, you can select any routing type and each rule under the routing types will be the same. The criteria may be different, such as line routing uses a specific line number and DID/DTMF will use a string of numbers matched to information sent by the PBX and OCR will use a word or phrase, but the parameters and options will all be the same for each routing type and these are covered in the steps below:
- Users: This tab configures transmission report options and users and/or groups who will receive the fax and are FaxMaker licensed users. The email sent will be addressed to the user's email address or the group's email address.
- From the routing rule properties Users tab, select one of the following options:

A transmission report is not sent to users.
Send transmission report with the fax attached
A transmission report is emailed to the list of users, with the fax attached to the report.
Save fax and send transmission report with a link to the fax
A transmission report is emailed to the list of users, containing a link of the fax stored on a network share. For more information refer to Store incoming faxes to a network share.
- When sending transmission reports, click Add to specify the list of users to whom to send the report.
- Click Apply
- From the routing rule properties Users tab, select one of the following options:
- Options: This tab is for reconfiguring the number of DID digits in the rule.
- From the routing rule properties dialog, select the Options tab.
- Change the name or number of the routing rule.
- Click Apply.
- Printers: This tab is for setting up any inbound autoprinting. Before adding printers here, they need to be added in the FaxMaker Configuration. The Adding Printers in the faxMaker Configuration article discusses this topic.
- From the routing rule properties dialog, select the Printers tab.
- Select Enable fax auto-printing.
- From the Select printer list, select the printer.
- Click Apply.
- Backup2Folder: This tab is for faxes to be deposited into a folder location. Ensure the FaxMaker Fax Server service has access to write to this folder when assigning.
- From the routing rule properties dialog, select the Backup2Folder tab.
- Select Automatically backup faxes to the folder and specify where to backup faxes.
- Select Backup faxes in this format and select the format in which to store faxes.
- Click Apply.
- Users: This tab configures transmission report options and users and/or groups who will receive the fax and are FaxMaker licensed users. The email sent will be addressed to the user's email address or the group's email address.
